Build systems that run without you: empower your team, streamline your practice

Though it’s not the most exciting part of building a practice, setting up a structure for creating office processes is an essential part of improving efficiency and removing costly bottlenecks. That’s why it’s wise to consider either hiring a consultant with expertise in this area or to look for these skills when hiring administrative personnel.

Lead with vision, not fear. “Early on, I realized that as a leader, you have to avoid assuming you know everything because you’re a doctor,” says James V. Anderson, D.M.D., CEO of eAssist Dental Solutions: a strategic partner of Henry Schein and the nation's leading dental billing company. eAssist discovered early on the importance of building a strong, self-managed team and trusting them to make decisions. “Tell your team what to do but let them figure out how to do it. If the front office has a problem, don’t solve it for them. Give your team the stewardship to bring their own ideas to the table to fulfill their responsibilities. Your role is to remove obstacles from the front office, assistant, and hygienist — not to overly prescribe how they get their job done. This takes the burden of responsibility off your shoulders and empowers your team to succeed.”

When building a team, search for individuals who know how to create custom processes, not just ones that are “off the shelf,” since these will need to be customized for your specific business. Write a job description for an office manager or other administrative team member who is systems-driven. During interviews, inquire what systems and processes they’ve implemented in the past that had the most impact. Ask them to describe their methods for identifying and improving processes.

But you’re not doing this alone. With Henry Schein as your strategic partner, you have access to ongoing business support long after your doors open. Your Henry Schein Field Sales Consultant (FSC) acts like an additional staff member — an experienced adviser dedicated to watching out for your practice’s performance, growth, and long-term profitability.

Tools like the Henry Schein Practice Analysis, the Annual Customer Benefit Statement, access to exclusive Henry Schein educational events and content, and local CE programs help you make informed, data-driven decisions. This isn’t a 12- to 18-month engagement, it’s the foundation of a decades-long relationship. Our mission is to help your practice run like a business; not leave you stranded once the build is done.

GETTING STARTED

To create a highly efficient office, follow these three steps:

1. Clearly delineate in writing what a team member’s goals and responsibilities are. For example, filling the hygiene schedule or collecting copayments.

2. Identify key performance indicators to measure their success in meeting these goals.

3. Provide your team with some aligned self-interests, such as a bonus or payment on top of base pay to reward their success.
